Payment and Deposit

A completed booking form and deposit of 50% of the hire charge (of which £500 for Porthpean House and £150 for The Lodge is non-refundable) is required to reserve your dates. We will contact you with confirmation of your reservation once payment has cleared. The balance of the hire charge is due no later than four months prior to your reserved dates. Failure to pay the balance before this time may result in the cancellation of your booking with us.

If your stay is due to start within four months of your booking the complete payment is required to reserve your stay with us.

Payment Method

Internet bank transfers to: M Petherick- Porthpean lettings HSBC/sort code: 40-03-04. Account number: 91365150. Payment can be made in the form of a cheque drawn on a UK bank. Cheques should be made out to Porthpean Lettings.  Any bank charges incurred will be the responsibility of the payer.

Cancellation Policy

Any cancellation made by you for any reason must be sent in writing by the person who made the booking. On receipt of the notice of cancellation we will seek to re-let the Property for the period of the booking. If we succeed in re-letting the Property for the whole of the period booked at the same price we shall refund an amount equal to the money paid (or pro rata amount), less non-refundable deposit and £100 administration fee. Wedding and Large Party fees are non refundable. If we are unable to re-let the Property at all then all monies paid by you shall be forfeited to us. We strongly recommend you take out cancellation Insurance.

Change of Dates

We may, at our discretion and subject to availability, consider a request from you to change the dates of the booking after confirmation has been issued. The request must be received more than 12 weeks away from the commencement of the booking and you pay an administration fee of £100.

Period of Hire

Rentals commence, unless otherwise notified, at 4pm on the day of arrival and terminate at 10.00am on the day of departure.

Use of the Property

The number of persons occupying the property must not exceed the maximum number stipulated by us. The property will be used for personal, domestic purposes only and cannot be sub-let to third parties. The Property shall not be used for Stag and/or Hen parties or any commercial purposes without our prior consent. We reserve the right to refuse entry to the entire party if these conditions are not observed.

Care of the Property

The guests shall take all reasonable and proper care of the property and its furniture, pictures, fittings, and effects in or on the property and leave them in the same state of repair and condition and in the same clean and tidy condition at the end of the let as at the beginning. Please tell us of any damages. The safety of all our guests comes first.  Please do not hide damage to furniture, electrical items or anything that may compromise the safety of our future guests.  We politely request that guests do not mark bed linen or towels with hair dye / make up/ fake tan, as this is often impossible to remove, spoiled linen and towels will incur an extra charge. Guests will be invoiced and charged for any costs we incur.

Damage

In the event that you or anyone in your group staying at the Property causes either excessive damage or incurs a need for extra cleaning or leaves the property without settling invoices for additional services or supplies received during their stay we will send a separate invoice for immediate settlement. You will be notified in writing of the details of any extra costs incurred within two weeks after the end of the let. If the Property is left in a satisfactory condition and all invoices have been paid, no charge will be made.

Smoking

Smoking, vaping, and using e-cigarettes are forbidden within the property.

Pets (Porthpean House only)

Two dogs are permitted at £30 per dog/week. They must be under proper control at all times, must not be left alone in the property, not allowed in the bedrooms or on the furniture and that their own food bowls/bedding are brought. No pets other than dogs are permitted.

Pets are not permitted at The Lodge.

Liability

We shall not, except if caused by our negligence, be under any liability to the guests or third parties for any accident, damage, loss injury expense or inconvenience, which may be suffered, incurred arise out of or in any way connected with the let. No term of the contract is enforceable under the Contracts (Rights of Third Parties) Act 1999 by a person who is not party to the contract. If the property becomes unavailable or unusable for an unforeseen reason prior to the date of booking, then we will reimburse the guest any monies paid.

Right of Entry

The owners or their representatives shall be allowed the right of entry to the property at all reasonable times for the purposes of inspection or to carry out any necessary repairs or maintenance. 

Problems and complaints

Please tell us straight away about any problems.  We will work hard to ensure that any issues are rectified as quickly as possible.  We cannot consider compensation for any complaints raised after you leave or if you will not allow us to put things right while you are here.

Lost Property

We have a minimum handling charge of £10 for returning items that have been left in the property (plus postage).  If not claimed within 14 days, the items will be disposed of. Please ensure you have all your belongings before your departure.

Insurance

Please ensure that you have adequate travel insurance covering travel arrangements in the UK and covering healthcare if travelling from abroad. Insurance is strongly recommended to protect the cancellation penalty. Refer to cancellation policy.

 Cars

Please ensure you park your car in the driveway outside the property.  Under no circumstances must an electric vehicle be charged from the property or outbuildings.  We can provide a list of the nearest EV charging locations.
